Our District Grants Guidelines

Prior to our District acquiring these District Funds for the year we must submit a spending plan to The Rotary Foundation (TRF). This plan must provide a general description of the individual activities each club wishes to fund, based on actual applications submitted to the District. This spending plan will also form the basis of the final reporting process.

Since all planned and approved individual District Grants must be in the hands of the District prior to the District applying for funding, all applications must be in the hands of the District prior to June 3, 2026.

It’s finally here — the District 5890 Grant Application 2026-27 is officially OPEN, and we are excited to share it with you.

As we covered during Grants Training, the entire process is now fully online. There are no PDFs to download, no forms to print, and please do not email any attachments.
Everything — including the MOU and the Grant Application — is combined into one simple, friendly form.
You can complete and sign the entire application from your computer, tablet, or even your phone. The form is designed to be easy for everyone, especially if you take a moment to read the instructions as you go.

2026-2027 Grant Timeline:

Deadline to submit: June 5, 2026
District 5890 Block Grant submitted to TRF by District 5890 Grants Committee: between July 1-15, 2026
Anticipated approval of District 5890 Block Grant from TRF: July 30, 2026 (estimated)
Anticipated District Grant Project can begin: Aug 1, 2026 (we will notify you when grant is approved)
2026-2027 District 5890 Grant ‘Final Report” due: April 30, 2027

2026-2027 Grant Requirements:

Appoint Club Foundation Chair***
Commit to appropriately publicize grant(s) projects
No overdue reports or unpaid dues***
Agree to implement the club MOU and other necessary documents (Our online District Grant Project Application includes the Memorandum of Understanding (MOU) — all in one form!)***
2026-2027 Club President and at least one member to participate in Grants Management Seminar***

HOW MUCH FUNDING DOES YOUR CLUB QUALIFY TO RECEIVE?

To help your club understand how much funding you may qualify for, visit the Grant Estimator. Your club may earn credit based on the following qualifiers:

Annual Fund Giving — If your club contributed in all three years (2023–24, 2024–25, 2025–26), you receive a one‑time $1,000 credit.
Per Capita Giving — Each year your club reaches $100 per capita, you earn $500 (up to $1,500 total).
CRFC Appointment & RCC Goals — If your club has appointed a CRFC and entered goals in Rotary Club Central, you earn an additional $500.
No Overdue Reports or Unpaid Dues — Clubs must be current on all District and Rotary International obligations.
Foundation Giving Goals Entered in RCC — Clubs must enter their Rotary Foundation giving goals in Rotary Club Central.

Each project will be evaluated based on the Guidelines below. The decision as to which grants will be awarded by the Grants Committee will be sent via email to the 2026-2027 Club President of all Clubs making an application for a District Grant within 15 days of the decision.

Projects must not be initiated until approved by the District 5890 Grants Committee and TRF. Once approved we will notify the Clubs that they may begin their projects. After a project is completed, the 2026-2027 District Grant Final Report and all receipts are submitted to the District which will then reimburse the club for the District's share of the project cost. 2026-2027 District Grant Final Reports are due to the District Grants Coordinator not later than April 30, 2027. The Final Report Form can be found on the District Website in August 2026.

Guidelines - subject to review and amendment throughout the year:

1. District grants are available to any club in District 5890.

2. There is a limit of one District Grant per club.

3. Clubs may partner with other clubs (up to a maximum of five (5) participating clubs) in any project and each additional club participating will attract an appropriate DDF match. Participation by clubs will count as the project for each of the participating clubs. Clubs are reminded that TRF requires active participation by all clubs in circumstances such as this.

4. Generally, District Grants are matching grants with the Club contributing the same amount or more to the project as requested in District Grant Funds. Additionally, the Club should be able to cover 100% of the cost of the project upfront since the District will not fund the District Grant portion of the project until the project is completed and the Final Report with receipts attached are submitted for reimbursement.

5. In addition the Grants Committee will consider:

a. Does the Club have a positive history of giving to TRF and Polio Plus on a per capita basis? In 2026-2027 no Club will be eligible for a Matching Grant unless they have contributed to TRF in 2022-2023, 2023-2024, and 2024-2025. There is an exception for new Rotary Clubs.

b. Does the Club have members who participate in District activities, Vocational Training Teams, Youth Exchange, District Assembly, District Conference, Seminars and Family of Rotary?

c. Does the Club have a successful history of timely completion and reporting on previous grants (if applicable)?

d. Is the Club able to prove all Federal tax filings are current and paid up to date?

The Grants committee will be pleased to work with clubs who have not participated in Grants in the past.

6. Are applicant clubs current in payment of dues to RI and District?

7. Clubs are required to be "qualified" under TRF Grant Rules in order to receive a District Grant. This includes the 2026-2027 Club President and additional trained Club member(s) completing Grant Training, and the Club executing the documents in the all-in-one 2026-2027 District Grant Application & Memorandum of Understanding (MOU) which is due on June 3, 2026

8. Club District Grant projects are not required to be sustainable (contrary to Global Grant projects). Neither are they required to be in one of Rotary's Seven Areas of Focus for Global Grants.
